A better process for new Starts
From April 2016, HR in partnership with IT Services will be introducing some changes to the new start process, to ensure a quicker set up for all new employees at the start of their employment with the University. This will involve changes to how new employees obtain their ID card and as well as how they activate their user account and email.
Within the new start pack, new employees will be encouraged to email their photo to ID Cards ahead of their start date. The ID card will then be produced, and sent to HR ready for collection on the new employee’s first day of employment, when they come into HR with their nationality documents. Each School/Unit will still need to email IDCards to request access to specific doors/buildings as required.
On the receipt of a signed contract, HR will create a new staff record, which will trigger an automated email to the individual (provided a personal email is provided), to enable a new staff account to be created for them ahead of their start date. This account will then sit dormant until the morning of their first day, at which point their staff entitlements will automatically be activated in terms of email account, Office 365, Uniprint and library borrowing. The change to this process is being phased in, and so will only apply to those individuals who return their signed contracts to HR from 4 April 2016; those who return their signed contracts prior to this date (regardless of their contract start date), will still need to attend the IT service desk in the library to activate their user account, as per the current process. Additionally, this will only apply to new starts who have never previously had a University of St Andrews user account, as either a member of staff or student.
It is anticipated that the introduction of these changes will help to reduce time lost on the first day of employment, without the individual members of staff having to make separate visits to ID cards and IT service desk.
